Essential Duties and Responsibilities

  • Coordinate daily administrative operations to ensure efficient business and departmental workflows.
  • Manage executive and departmental calendars, meeting schedules, conference room reservations, and travel arrangements.
  • Prepare agendas, presentation materials, reports, meeting minutes, and business correspondence.
  • Coordinate internal meetings, leadership events, training sessions, and company-wide activities.
  • Maintain accurate records, confidential documentation, contracts, and organizational files.
  • Serve as the primary administrative liaison between executives, departments, vendors, and external stakeholders.
  • Assist with budget tracking, purchase requests, invoice processing, expense reports, and procurement activities.
  • Coordinate onboarding logistics for new employees, including workspace preparation and administrative documentation.
  • Monitor office supplies, equipment, vendor services, and facility-related requests.
  • Support project coordination by tracking deadlines, deliverables, and action items across multiple teams.
  • Organize business travel, accommodations, itineraries, and expense reconciliation.
  • Assist with policy documentation, process improvements, and administrative best practices.
  • Coordinate communications, announcements, and departmental updates.
  • Support confidential executive projects and special assignments as needed.
  • Ensure compliance with company policies, administrative procedures, and record management standards.
  • Identify opportunities to improve administrative efficiency through process optimization and technology solutions.

Job Qualifications and Requirements

  • Associate’s or Bachelor’s degree in Business Administration, Office Administration, Communications, or a related field preferred.
  • 3+ years of experience in administrative coordination, executive support, office management, or business operations.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Experience coordinating executive calendars, travel arrangements, meetings, and corporate events.
  • Familiarity with document management systems, expense reporting platforms, and office productivity software.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Experience supporting multiple departments within a corporate environment is preferred.
  • Ability to manage confidential and sensitive business information with discretion.

Compensation & Benefits

Compensation Package: $80,000 – $110,000 annually, based on experience, administrative expertise, and overall qualifications.
