This executive will work closely with the CEO, Board, COO, CFO, CHRO, Legal, Finance, Procurement, IT, HR, Communications, Operations, Security, Customer Success, Data Analytics, and Executive Leadership to ensure administrative systems support company strategy and day-to-day execution.

This role requires a leader who understands how administrative infrastructure affects enterprise performance. The ideal candidate will know how to build reliable internal service models, improve executive coordination, manage corporate support functions, strengthen vendor accountability, support workforce experience, improve policy governance, reduce operational friction, and create practical systems that help leaders and employees work more effectively across a remote environment.

The selected candidate will help shape how the company organizes and manages essential business support services at scale. Essential Duties and Responsibilities

• Lead enterprise administrative strategy across corporate services, executive operations, business support functions, policy governance, workplace programs, vendor coordination, and administrative service delivery.

• Build and execute an administrative operations roadmap that improves organizational consistency, internal service quality, executive coordination, process discipline, vendor accountability, and enterprise scalability.

• Partner with the CEO, COO, CFO, CHRO, Legal, and executive leadership team to align administrative priorities with business strategy, workforce needs, financial discipline, governance requirements, and operational execution.

• Oversee executive operations support, including leadership meeting rhythms, executive coordination, decision follow-up, administrative planning, board support coordination where appropriate, and cross-functional operating routines.

• Lead corporate services programs that may include workplace services, facilities coordination where applicable, administrative support teams, travel programs, document management, vendor support, employee services, and business continuity planning.

• Establish administrative governance standards, including approval workflows, policy ownership, service-level expectations, escalation paths, documentation routines, and operating procedures.

• Partner with Procurement and Finance to improve vendor oversight, contract coordination, renewal planning, invoice review, budget visibility, supplier performance, and administrative cost discipline.

• Partner with HR and Employee Experience teams to support remote workforce programs, onboarding support, employee services, internal communication routines, workplace coordination, and culture-building logistics.

• Partner with IT and Security to ensure administrative systems, collaboration tools, access workflows, document practices, and workforce support processes align with security and technology standards.

• Improve internal service delivery through standard operating procedures, service catalogs, case management processes, performance tracking, employee feedback loops, and administrative support metrics.

• Lead business continuity and operational readiness planning for administrative services, critical vendors, workforce support, executive operations, communication protocols, and continuity procedures.

• Develop dashboards and leadership reporting covering administrative service performance, vendor status, budget trends, policy updates, service requests, project progress, business continuity readiness, and workforce support activity.

• Identify operational friction, administrative gaps, process inconsistencies, vendor issues, policy confusion, communication breakdowns, and support bottlenecks, then implement practical solutions.

• Build, mentor, and lead administrative operations teams while creating a culture of professionalism, discretion, service quality, accountability, process discipline, and continuous improvement.

Job Qualifications and Requirements

• Bachelor’s degree in Business Administration, Operations Management, Public Administration, Organizational Leadership, Finance, Human Resources, Information Systems, or a related field required.

• MBA, master’s degree, or advanced executive education in business administration, operations, governance, organizational leadership, or enterprise management strongly preferred.

• 15+ years of progressive experience in corporate administration, business operations, executive operations, corporate services, enterprise services, operational governance, facilities strategy, vendor management, or administrative leadership.

• 8+ years of senior leadership experience managing administrative teams, corporate services functions, business support operations, executive operations teams, vendor programs, or enterprise service delivery functions.

• Experience within enterprise SaaS, AI-enabled technology, cloud platforms, fintech, cybersecurity, healthcare technology, digital products, consulting, professional services, or large distributed enterprise environments strongly preferred.

• Proven success building administrative operating models, improving internal service delivery, managing enterprise vendors, supporting executive teams, strengthening policy governance, and scaling corporate support functions.

• Strong understanding of corporate administration, service delivery, executive operations, vendor governance, policy management, workplace programs, business continuity, financial controls, and cross-functional coordination.

• Experience managing budgets, vendor contracts, administrative spend, renewal cycles, workforce support programs, internal service metrics, and operational improvement initiatives.

• Familiarity with systems such as Workday, ServiceNow, Jira Service Management, Asana, Monday.com, Smartsheet, Confluence, Google Workspace, Microsoft 365, Slack, Zoom, NetSuite, Coupa, DocuSign, Tableau, Power BI, or similar tools preferred.

• Strong business and financial acumen with the ability to evaluate administrative investments, cost structure, vendor performance, service efficiency, workforce impact, and operational risk.

• Experience working directly with CEOs, Boards, COOs, CFOs, CHROs, Legal, Finance, HR, IT, Security, Procurement, Operations, Communications, external vendors, and executive stakeholders.

• Excellent executive communication, stakeholder management, service leadership, process design, change management, vendor negotiation, and team leadership skills.

Strategic Support

The Chief Administrative Officer will provide strategic leadership by ensuring the company’s administrative infrastructure supports executive effectiveness, employee productivity, governance discipline, vendor accountability, and scalable business operations.

Working Conditions

• Location: USA Remote.

• Primarily remote executive leadership environment with regular administrative operations reviews, executive coordination sessions, vendor meetings, policy discussions, service delivery updates, workforce support reviews, and cross-functional planning meetings.

Compensation & Benefits

Compensation Package: $440K – $529K

The total compensation package may include base salary, executive performance bonus, administrative operations performance incentives, enterprise service delivery incentives, long-term incentives, equity participation where applicable, and additional executive-level benefits depending on experience, qualifications, and final role alignment.
