We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive administrative and operational support to senior executives. This role is responsible for managing executive calendars, coordinating meetings and travel, preparing reports and presentations, facilitating executive communications, and supporting key business initiatives while maintaining the highest standards of confidentiality and professionalism.

The Executive Administrative Assistant works closely with Executive Leadership, Human Resources, Finance, Legal, Communications, Information Technology, Investor Relations, and external business partners to ensure efficient executive operations and effective organizational coordination.

Essential Duties and Responsibilities

  • Manage complex executive calendars, appointments, and scheduling priorities.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
  • Prepare executive presentations, reports, meeting agendas, and briefing materials.
  • Organize leadership meetings, board meetings, town halls, and strategic planning sessions.
  • Screen calls, emails, and executive correspondence while prioritizing urgent matters.
  • Draft professional communications, meeting minutes, executive summaries, and business documentation.
  • Coordinate cross-functional projects and monitor executive action items.
  • Maintain confidential executive records, contracts, and sensitive documentation.
  • Serve as a liaison between executives, employees, customers, board members, and external partners.
  • Assist with budget tracking, invoice processing, procurement requests, and vendor coordination.
  • Support event planning, executive conferences, leadership retreats, and corporate functions.
  • Improve administrative workflows through process optimization and technology adoption.
  • Maintain accurate records, documentation, and compliance with company policies.
  • Support special projects and strategic initiatives assigned by executive leadership.

Job Qualifications and Requirements

  • Bachelor’s degree in Business Administration, Management, Communications, or a related discipline preferred.
  • Minimum of 5 years of experience supporting senior executives, executive leadership teams, or corporate management.
  • Demonstrated experience managing executive calendars, travel coordination, and confidential communications.
  • Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience using Google Workspace, Zoom, Slack, Concur, DocuSign, or similar enterprise collaboration platforms.
  • Exceptional written and verbal communication skills.
  • Strong organizational, multitasking, and project coordination abilities.
  • Ability to exercise sound judgment and maintain strict confidentiality.
  • Experience supporting multiple executives simultaneously is highly preferred.

Working Conditions

  • Fully Remote position within the United States.
  • Flexible work schedule supporting executive leadership across multiple U.S. time zones.
  • Approximately 10–15% domestic travel for executive meetings, leadership events, board meetings, and strategic planning sessions.

Job Function

The Executive Administrative Assistant is responsible for providing high-level administrative and operational support to executive leadership by coordinating schedules, communications, travel, meetings, and strategic initiatives. This role ensures executives operate efficiently while maintaining exceptional organizational standards, confidentiality, and service. Success is measured through executive satisfaction, administrative accuracy, operational efficiency, communication effectiveness, and the timely execution of business priorities.


Compensation & Benefits

Compensation Package

Base Salary: $246,000 – $318,000 USD annually

Compensation is determined based on executive support experience, organizational expertise, technical proficiency, geographic location, education, certifications, and overall qualifications.
