The selected candidate will work closely with Executive Leadership, Operations, Finance, HR, Legal, Sales, Customer Success, Product, Engineering, Marketing, external partners, vendors, and board-level stakeholders where appropriate to ensure meetings, communications, action items, documents, and executive commitments are handled accurately and professionally.

Your Role at the Company

As Executive Assistant, you will provide high-level administrative and operational support to senior executives by managing calendars, coordinating meetings, preparing materials, tracking priorities, supporting communication, and ensuring executive workflows run smoothly.

You will be responsible for protecting executive time, organizing information, managing confidential details, preparing leadership communications, supporting travel and events, coordinating follow-up, and helping the executive team maintain strong operational discipline.

You will serve as a trusted partner to leadership while maintaining accountability for discretion, accuracy, responsiveness, organization, professionalism, and timely execution.

What You’ll Do

Manage complex executive calendars, including meeting prioritization, scheduling conflicts, internal and external appointments, leadership reviews, board-related sessions, and time-sensitive commitments.

Coordinate meetings across multiple time zones while ensuring attendees, agendas, materials, links, locations, and follow-up items are organized in advance.

Prepare meeting agendas, briefing materials, presentation support, action item lists, meeting notes, executive summaries, and follow-up communications.

Serve as a professional communication point between executives, internal teams, external partners, customers, vendors, and stakeholders.

Track executive priorities, deadlines, deliverables, approvals, open items, and commitments to ensure timely follow-through.

Coordinate travel arrangements, itineraries, lodging, transportation, meeting logistics, and expense reporting where required.

Support executive communications, including drafting emails, organizing updates, preparing internal announcements, editing documents, and coordinating leadership messages.

Maintain organized digital files, shared folders, confidential documents, executive records, contact lists, meeting materials, and reference resources.

Partner with Operations, Finance, HR, Legal, Sales, Product, Engineering, Marketing, and Customer Success teams to coordinate cross-functional executive needs.

Support leadership offsites, virtual meetings, board meetings, customer meetings, investor sessions, company events, and executive planning workshops.

Process expense reports, purchase requests, invoices, vendor follow-ups, travel documentation, and administrative approvals accurately and on time.

Anticipate executive needs by preparing context, gathering information, confirming details, resolving scheduling issues, and helping reduce administrative friction.

Handle confidential information with discretion, professionalism, sound judgment, and strong attention to privacy and sensitivity.

Identify opportunities to improve executive workflows, communication routines, documentation systems, meeting processes, and administrative efficiency.

What You’ll Bring

5+ years of experience as an executive assistant, senior administrative assistant, executive coordinator, chief of staff support partner, business operations coordinator, or administrative operations professional.

Experience supporting senior executives, C-suite leaders, vice presidents, board-level stakeholders, or high-performing leadership teams preferred.

Experience working within enterprise SaaS, AI-enabled technology, cloud platforms, professional services, consulting, financial services, healthcare technology, or fast-growing remote-first organizations preferred.

Strong calendar management experience with the ability to manage complex schedules, competing priorities, last-minute changes, and multi-time-zone coordination.

Excellent written and verbal communication skills with the ability to draft clear messages, prepare summaries, edit documents, and communicate professionally with internal and external stakeholders.

Strong technology skills with tools such as Google Workspace, Microsoft 365, Slack, Microsoft Teams, Zoom, Asana, Monday.com, Notion, Concur, Expensify, DocuSign, Salesforce, or similar platforms.

Experience preparing meeting materials, presentations, reports, agendas, action items, follow-up notes, travel plans, and executive documentation.

Ability to handle confidential information, executive communications, financial details, employee matters, legal-sensitive documents, and business strategy materials with discretion.

Strong organization and prioritization skills with the ability to manage multiple requests, deadlines, meetings, documents, and stakeholder needs.

Experience supporting remote executives, distributed teams, virtual meetings, digital workflows, and remote collaboration routines preferred.

Associate degree or bachelor’s degree in Business Administration, Communications, Management, Operations, or a related field preferred.

Executive assistant certification, project coordination training, business administration certification, or equivalent practical experience preferred.

Compensation Package: $150,000 – $250,000

Base Salary: $150,000 – $250,000.
