We are seeking a highly organized HR Administrative Assistant to provide comprehensive administrative and operational support to the Human Resources department. This role is responsible for coordinating HR activities, maintaining confidential employee records, assisting with recruitment and onboarding, scheduling interviews, supporting benefits administration, and ensuring the efficient execution of daily HR operations.

The HR Administrative Assistant collaborates closely with Talent Acquisition, HR Business Partners, Payroll, Benefits, Learning & Development, Finance, Information Technology, and business leaders to deliver outstanding employee support while maintaining confidentiality and compliance.

Essential Duties and Responsibilities

  • Provide administrative support for daily Human Resources operations.
  • Schedule interviews, meetings, orientation sessions, and employee training programs.
  • Maintain confidential employee records and HR documentation within HRIS platforms.
  • Assist with onboarding, offboarding, employment verification, and new hire documentation.
  • Support recruitment activities by coordinating interviews and communicating with candidates.
  • Process HR forms, employment changes, and personnel documentation.
  • Assist with benefits enrollment, leave administration, and employee inquiries.
  • Prepare reports, presentations, spreadsheets, and HR correspondence.
  • Coordinate background checks, employment screenings, and onboarding requirements.
  • Monitor compliance with company policies, employment regulations, and document retention requirements.
  • Support employee engagement initiatives, recognition programs, and corporate events.
  • Maintain HR calendars, project timelines, and departmental records.
  • Assist with payroll coordination and employee data updates.
  • Contribute to process improvement initiatives that enhance HR efficiency and employee service.

Job Qualifications and Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Management, or a related discipline preferred.
  • Minimum of 3 years of experience in Human Resources, administrative support, office administration, or HR coordination.
  • Experience using HRIS platforms such as Workday, ADP, UKG, SAP SuccessFactors, Oracle HCM, or similar systems.
  • Strong understanding of HR administrative processes and employment documentation.
  • Proficiency in Microsoft Office 365, including Outlook, Excel, Word, PowerPoint, and Teams.
  • Familiarity with applicant tracking systems (ATS) and recruitment coordination.
  • Knowledge of employment laws, confidentiality standards, and HR best practices is preferred.
  • Excellent organizational, communication, and multitasking skills.
  • Ability to manage confidential information with professionalism and discretion.

Job Function

The HR Administrative Assistant is responsible for supporting Human Resources operations by coordinating administrative activities, maintaining employee records, assisting with recruitment and onboarding, and ensuring efficient HR processes. This role partners with HR professionals and business leaders to deliver responsive employee support while maintaining compliance, confidentiality, and operational excellence. Success is measured through administrative accuracy, employee satisfaction, process efficiency, compliance, and timely execution of HR initiatives.


Compensation & Benefits

Compensation Package

Base Salary: $228,000 – $286,000 USD annually

Compensation is determined based on HR administration experience, technical proficiency, organizational expertise, geographic location, education, certifications, and overall qualifications.
