The Office Administrator is responsible for coordinating daily administrative activities, supporting executive leadership, managing operational workflows, and ensuring internal processes remain organized and efficient. This position works closely with Human Resources, Finance, Information Technology, Facilities, Procurement, and Executive Leadership to maintain seamless business operations while supporting a remote-first workforce.

Essential Duties and Responsibilities
- Coordinate day-to-day administrative operations supporting multiple business functions and leadership teams.
- Manage executive calendars, meeting schedules, virtual conferences, and departmental communications.
- Prepare business correspondence, reports, presentations, policies, and operational documentation.
- Organize electronic records, contracts, vendor files, and confidential corporate documents.
- Support onboarding, employee engagement initiatives, and internal communication programs.
- Coordinate travel arrangements, expense reporting, and executive logistics as required.
- Maintain office policies, administrative procedures, and operational best practices.
- Collaborate with Human Resources, Finance, Procurement, and IT to support cross-functional initiatives.
- Assist with budget tracking, invoice processing, purchase requests, and vendor coordination.
- Prepare operational reports, dashboards, and management summaries using business software tools.
- Identify opportunities to improve administrative processes and operational efficiency.
- Support company meetings, leadership events, training sessions, and organizational projects.
- Ensure compliance with company policies, documentation standards, and confidentiality requirements.
- Provide exceptional administrative support while maintaining professionalism and responsiveness.
Job Qualifications and Requirements
- Bachelor’s degree in Business Administration, Management, Communications, or a related discipline preferred.
- Minimum of 4 years of professional experience in office administration, business operations, executive support, or corporate administration.
- Experience supporting executives or multiple departments within a corporate environment.
- Advanced proficiency in Microsoft Office Suite and Google Workspace.
- Experience using Microsoft Teams, Zoom, Slack, SharePoint, or other collaboration platforms.
- Strong organizational, multitasking, and project coordination skills.
- Excellent written, verbal, and interpersonal communication abilities.
- Experience with ERP, HRIS, or document management systems is considered an advantage.
- Ability to manage confidential information with discretion and professionalism.

Compensation & Benefits
Compensation Package
Base Salary: $175,000 – $245,000 USD annually
Compensation is determined based on administrative leadership experience, operational expertise, organizational impact, geographic location, and overall qualifications.
