We are seeking a highly detail-oriented Payroll Specialist to support payroll administration, compliance, employee compensation processing, tax reporting, and payroll systems management. This individual will work closely with Human Resources, Finance, Benefits, Accounting, and Technology teams to ensure payroll operations are executed accurately, confidentially, and in accordance with company policies and regulatory requirements.
This role is ideal for a payroll professional who enjoys working with data, solving complex payroll issues, maintaining compliance, and delivering exceptional internal customer service while supporting a large and diverse workforce.
Essential Duties and Responsibilities
Payroll Processing & Administration
- Process weekly, bi-weekly, semi-monthly, and monthly payrolls for employees across multiple business units and geographic locations.
- Review payroll data for accuracy, completeness, and compliance prior to payroll processing.
- Calculate regular earnings, overtime, bonuses, commissions, shift differentials, retroactive adjustments, and other compensation components.
- Process new hires, promotions, transfers, terminations, and employee status changes within payroll systems.
- Maintain payroll calendars and ensure timely completion of payroll processing deadlines.
Compliance & Tax Administration
- Ensure payroll activities comply with federal, state, local, and company regulations.
- Process payroll tax deductions, garnishments, child support orders, benefit deductions, and retirement contributions.
- Support year-end payroll activities including W-2 preparation, payroll reconciliations, and regulatory reporting.
- Maintain compliance with wage and hour laws, tax regulations, and payroll audit requirements.
- Assist with internal and external payroll audits.
Employee Support & Customer Service
- Respond to employee inquiries regarding payroll, earnings statements, deductions, taxes, benefits, and direct deposit.
- Investigate payroll discrepancies and resolve issues promptly.
- Provide exceptional customer service while maintaining confidentiality of employee information.
- Educate employees on payroll policies, procedures, and system functionality.
Payroll Systems & Data Management
- Maintain employee payroll records and ensure data integrity within payroll and HRIS platforms.
- Process payroll updates related to compensation, benefits, tax elections, and organizational changes.
- Support payroll system testing, upgrades, and process improvements.
- Generate payroll reports and analytics for Finance, HR, and executive leadership.
Financial Reconciliation & Reporting
- Reconcile payroll registers, benefit deductions, payroll tax liabilities, and general ledger accounts.
- Prepare payroll-related financial reports and supporting documentation.
- Coordinate payroll funding activities with Finance and Accounting teams.
- Monitor payroll expenses and identify discrepancies or unusual trends.
Process Improvement
- Identify opportunities to automate payroll processes and improve operational efficiency.
- Support implementation of payroll best practices and continuous improvement initiatives.
- Assist in documentation of payroll procedures and internal control standards.
- Participate in cross-functional HR and Finance projects related to payroll operations.
Job Qualifications and Requirements
- Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, Payroll Administration, or related field preferred.
- Certified Payroll Professional (CPP), Fundamental Payroll Certification (FPC), or equivalent certification preferred.
- 3–6+ years of payroll processing experience in medium-to-large organizations.
- Experience processing multi-state payrolls and supporting high-volume payroll operations.
- Strong knowledge of payroll laws, tax regulations, wage and hour compliance, and payroll accounting.
- Experience using payroll systems such as Workday, ADP Workforce Now, UKG (Ultimate Kronos), Ceridian Dayforce, SAP SuccessFactors, Oracle HCM, or similar enterprise platforms.
- Advanced Microsoft Excel skills and experience working with payroll reporting tools.

Compensation & Benefits
Compensation Package: $95,000 – $145,000
