Essential Duties and Responsibilities
- Provide comprehensive executive and personal administrative support to the Chief Executive Officer and senior leadership.
- Manage complex calendars, appointments, meetings, and scheduling across multiple U.S. time zones.
- Coordinate domestic and international travel arrangements, itineraries, accommodations, and expense reporting.
- Prepare professional correspondence, presentations, reports, meeting agendas, and executive documentation.
- Screen communications and prioritize emails, phone calls, and business requests requiring executive attention.
- Coordinate executive meetings, virtual conferences, leadership events, and confidential discussions.
- Maintain organized electronic records, confidential documents, contracts, and executive files.
- Support project coordination by tracking deadlines, deliverables, and follow-up activities.
- Liaise with internal departments, clients, vendors, and external stakeholders on behalf of executive leadership.
- Assist with budgeting, invoice processing, vendor communications, and administrative purchasing requests.
- Handle confidential information with the highest level of discretion and professionalism.
- Identify opportunities to improve executive workflows, administrative processes, and organizational efficiency.
- Support special projects and strategic initiatives as assigned by executive leadership.

Job Qualifications and Requirements
- Bachelor’s degree in Business Administration, Communications, Management, or a related discipline preferred.
- Minimum of 5 years of experience supporting C-level executives, senior leadership, or high-level business professionals.
- Demonstrated experience managing complex executive calendars, travel coordination, and confidential communications.
- Advanced proficiency with Microsoft Office Suite, Google Workspace, Microsoft Teams, Zoom, and collaboration platforms.
- Strong organizational, project coordination, and time management skills.
- Excellent written, verbal, and interpersonal communication abilities.
- Proven ability to manage multiple priorities within fast-paced executive environments.
- Experience supporting remote executives and distributed organizations is highly desirable.

Compensation & Benefits
Compensation Package
Base Salary: $95,000 – $130,000 USD annually
Compensation is determined based on executive support experience, organizational expertise, business impact, and overall qualifications.
