The Project Coordinator serves as a central point of communication between project managers, stakeholders, cross-functional teams, vendors, and leadership. This position is responsible for coordinating project schedules, maintaining documentation, tracking milestones, facilitating meetings, and ensuring project activities are completed efficiently throughout the project lifecycle.

Essential Duties and Responsibilities
- Coordinate project schedules, timelines, deliverables, and resource assignments across multiple initiatives.
- Support Project Managers throughout project planning, execution, monitoring, and closure activities.
- Maintain project documentation, project plans, meeting minutes, risk registers, and status reports.
- Schedule project meetings, prepare agendas, document action items, and follow up on assigned tasks.
- Monitor project progress and proactively identify scheduling conflicts, risks, or potential delays.
- Collaborate with internal departments, vendors, clients, and stakeholders to ensure project alignment.
- Track project budgets, expenses, procurement activities, and resource utilization when applicable.
- Prepare dashboards, presentations, and executive reports summarizing project performance and milestones.
- Maintain accurate project records within project management software and document repositories.
- Assist with change requests, issue tracking, and project governance activities.
- Ensure projects comply with organizational standards, policies, and documentation requirements.
- Support continuous improvement initiatives by recommending enhancements to project management processes.
- Coordinate onboarding activities for project team members and facilitate project communications.
- Provide administrative and operational support to ensure successful project delivery.
Job Qualifications and Requirements
- Bachelor’s degree in Business Administration, Project Management, Information Systems, Engineering, or a related discipline preferred.
- Minimum of 3 years of professional experience in project coordination, project administration, operations, or program support.
- Experience using project management platforms such as Microsoft Project, Jira, Asana, Monday.com, Smartsheet, or Trello.
- Strong understanding of project lifecycle management, scheduling, documentation, and reporting.
- Familiarity with Agile, Scrum, Waterfall, or hybrid project management methodologies.
- Excellent organizational, analytical, and time management skills.
- Strong written and verbal communication skills with the ability to collaborate across multiple teams.
- Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Experience supporting cross-functional business or technology projects is highly desirable.
- CAPM, PMP, Agile, Scrum, or PRINCE2 certification is considered an asset.

Working Conditions
- Fully Remote position within the United States.

Job Function
The Project Coordinator is responsible for supporting the planning, coordination, execution, and successful delivery of business and technology projects. This role partners with Project Managers, business leaders, technical teams, and stakeholders to ensure projects remain organized, on schedule, and aligned with strategic objectives. Success is measured through timely project delivery, effective stakeholder communication, documentation accuracy, operational efficiency, and overall project performance.
Compensation & Benefits
Compensation Package
Base Salary: $165,000 – $220,000 USD annually
Compensation is determined based on project management experience, technical expertise, geographic location, industry background, and overall qualifications.
