Our Executive Operations & Administration team serves as the operational backbone of the executive leadership group by coordinating high-level business activities, managing executive priorities, and ensuring seamless communication across internal and external stakeholders. We are seeking a highly organized and experienced Senior Executive Assistant to provide comprehensive administrative and operational support to senior executives. This role is responsible for managing complex calendars, coordinating executive communications, organizing meetings and travel, preparing executive presentations, and supporting high-priority strategic initiatives. The successful candidate will demonstrate outstanding professionalism, confidentiality, and the ability to anticipate executive needs in a fast-paced corporate environment.

The Senior Executive Assistant partners closely with Executive Leadership, Human Resources, Finance, Legal, Communications, Investor Relations, Information Technology, and external business partners to ensure efficient executive operations and exceptional organizational effectiveness.

Essential Duties and Responsibilities

  • Manage complex executive calendars, scheduling priorities, and meeting coordination.
  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
  • Prepare executive presentations, reports, briefing materials, and board meeting documentation.
  • Organize executive leadership meetings, committee sessions, and strategic planning events.
  • Screen communications, prioritize requests, and manage confidential correspondence.
  • Maintain executive action items, project timelines, and follow-up activities.
  • Coordinate cross-functional initiatives on behalf of executive leadership.
  • Draft professional communications, meeting agendas, minutes, and executive summaries.
  • Manage relationships with internal stakeholders, board members, clients, vendors, and external partners.
  • Support budget tracking, invoice processing, procurement requests, and administrative reporting.
  • Maintain confidential records, contracts, and executive documentation.
  • Improve administrative workflows and implement best practices that enhance executive productivity.
  • Assist with special projects, corporate events, and organizational initiatives.
  • Ensure the highest standards of confidentiality, professionalism, and operational excellence.

Job Qualifications and Requirements

  • Bachelor’s degree in Business Administration, Communications, Management, or a related discipline preferred.
  • Minimum of 7 years of experience supporting C-suite executives, senior leadership teams, or corporate executives.
  • Demonstrated experience managing complex executive calendars, travel logistics, and board-level communications.
  • Advanced proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience using collaboration platforms such as Google Workspace, Zoom, Slack, Concur, DocuSign, or similar enterprise tools.
  • Exceptional written and verbal communication skills.
  • Strong organizational, project coordination, and time management abilities.
  • Ability to exercise sound judgment while handling highly confidential information.
  • Experience supporting multiple executives simultaneously is highly preferred.

Working Conditions

  • Fully Remote position within the United States.
  • Flexible work schedule supporting executive leadership across multiple U.S. time zones.
  • Approximately 10–15% domestic travel for executive meetings, leadership retreats, board meetings, and corporate events.

Compensation & Benefits

Compensation Package

Base Salary: $272,000 – $336,000 USD annually

Compensation is determined based on executive support experience, organizational expertise, technical proficiency, geographic location, education, certifications, and overall qualifications.
